Who is the administrator of your personal data?

Where do we get your personal data from? We have obtained your data:
- directly from you, we have obtained them, e.g. through the Queen Hedvig Academy website, social media, paper and electronic forms, as well as in the case where we have concluded a contract with you or have taken steps to conclude it;
- from the entity which has concluded with EEC Sp. z o.o. a contract for the provision of services for you;
- from a partner / third entity cooperating with EEC Sp. z o.o. who provided your personal data based on your consent;
- from publicly available sources, e.g. from the National Court Register, Central Register and Information on Economic Activity, social media or other similar sources.
What is the scope of application of the Privacy Policy?
The privacy policy applies to the website www.hedvig.pl, as well as other websites operated by EEC Sp. z o.o., if they refer to this Privacy Policy. This Privacy Policy also applies to the processing of personal data by EEC Sp. z o.o. apart from websites, in particular for EEC Sp. z o.o. associated with the organization of conferences and conducting trainings.
Providing what personal data is necessary to use the services of EEC Sp. z o.o.?
In order to fully use the websites of EEC Sp. z o.o. it is necessary to provide the following personal data:
- if the use is made using registration or logging in, these data include: name, surname, e-mail address, telephone number, position, data contained in cookie files as well as data from server logs (i.e. in particular: time of visit to the website; type of event related to the visit to the website, username and IP address).
- in the case of using the so-called "Open materials" posted on the pages of EEC Sp. z o.o., these are data contained in cookie files and data from server logs (i.e. in particular: time of visit to the website; type of event related to the visit to the website, user name with the IP address).
What data do we process?
EEC Sp. z o.o. processes the following categories of data depending on the purposes of processing:
- in order to use the websites of EEC Sp. z o.o.
- using registration or login - name, surname, e-mail, telephone number, position, data contained in cookie files as well as data from server logs (i.e. in particular: time of visit to the website; type of event related to the visit to the website, username and IP address),
- if you use the so-called open materials posted on EEC Sp. z o.o. data contained in cookies and data from server logs (i.e. in particular: time of visit to the website; type of event related to the visit to the website, user name together with the IP address);
- in order to conclude and perform the contract - data required for identification for the purposes of its conclusion, performance of the service and invoice (name, surname, address, social security number, tax identification number, position held in the company, business address, telephone number, health information regarding the possibilities consuming specific products when participating in training or conferences);
- in order to conduct our marketing activities and provide newsletter services - identification data necessary to provide online services (data contained in cookies, e-mail, name, surname, telephone number, position);
- data needed to select the appropriate marketing offer and services for EEC Sp. z o.o. (e-mail address, data contained in cookies).
What and on what grounds will we use your personal data for?
We will process your personal data for one or more of the following purposes:
- to implement activities carried out at your request before the conclusion of the contract (art.6 par.1 letter.b RODO);
- in order to conclude and perform a contract that you have concluded with EEC Sp. z o.o. (art.6 par.1 letter.b RODO);
- in order to perform the contract concluded with EEC Sp. z o.o. for you as a third party (Article 393 of the Civil Code), when another party is a party to the contract (Article 6 (1) (f) of the GDPR, where the legitimate interest of the administrator consists in the performance of the contract concluded with the contractor);
- in order to carry out competitions organized by EEC Sp. z o.o. in which you participate (art.6 par.1 letter.b RODO);
- in order to fulfill the legal obligation incumbent on EEC Sp. z o.o., e.g. issuing an invoice or bill or fulfilling the obligations arising from the GDPR (Article 6 (1) (c) of the GDPR);
- in order to set up and administer your account integrated with IT systems / websites EEC Sp. z o.o. (art.6 par.1 letter.a RODO);
- for the purposes of marketing products and services of EEC Sp. z o.o. (art.6 par.1 letter.f RODO);
- in order to conduct market and opinion research (quantitative research) (art. 6 (1) (a) or (f) RODO, where the legitimate interest of the administrator lies in the methodological correct conduct of such research, e.g. by selecting the appropriate group of respondents);
- to adapt the menu intended for conference and training participants for your needs (art. 9 par. 2 letter.a RODO);
- if you agree and only to the extent to which you agree, we will process your data:
- for the purpose of marketing products and services of EEC Sp. z o.o. using profiling and other advanced activities (so-called remarketing, behavioral advertising, marketing attribution, social media, presenting an offer by a machine via a telephone) (art.6 par.1 letter.a RODO),
- for the purpose of marketing third parties (art.6 par.1 letter.a RODO),
- in order to provide your personal data to entrepreneurs, research centers with which EEC Sp. z o.o. cooperates so that they can use them for marketing purposes (art.6 par.1 letter.a RODO),
- in order to conduct the following types of market and opinion research: quantitative research (surveys and tests) or qualitative research (personal interviews) (art.6 par.1 letter.a RODO),
- to provide you with a discount on our services, if you agree to the processing of personal data for the purposes specifically indicated in the individual forms (art.6 par.1 point RODO).
Do you have to provide personal data?
To the extent that the processing of your data takes place in order to perform the contract with EEC Sp. z o.o., providing your data is a condition for concluding this contract. Providing data is voluntary, but it is necessary to conclude and perform the contract. If you do not provide personal data, the contract will not be concluded. Providing the data necessary to issue an invoice is a statutory obligation and results from the Act on tax on goods and services (Article 106e of the Act on tax on goods and services). In the remaining scope, providing personal data is voluntary, it is not a statutory or contractual requirement and is not a condition for concluding the contract, but it may provide you with additional benefits.
How to withdraw your consent?
You can give all or some of your consents or not. You can withdraw any consent given to EEC Sp. z o.o. in connection with the processing of personal data without suffering negative consequences. All you have to do is send an e-mail, call or send a message by post to the contact details indicated above. The willingness to withdraw consent can be expressed in any way, the only condition is that it reaches EEC Sp. z o.o. Withdrawal of consent does not affect the lawfulness of processing your data before it is made, i.e. until the consent is withdrawn, processing of your data by EEC Sp. z o.o. is legal.

When and to whom can we transfer the data?
If you agree, we will provide your personal data to entrepreneurs or research centers with which EEC Sp. z o.o. cooperates ("Partners EEC Sp.z o.o."), for which you agree. We may disclose your data through companies cooperating with us and performing tasks on our behalf and our behalf in order to provide additional services related to the implementation of services on your behalf. Most often they are companies: providing us with accommodation services for training participants; trainers; providing IT services; responsible for broadcasting Webinars and access to e-learning; responsible for sending correspondence; entities cooperating in conducting quantitative research; providing settlement services (banks) and accounting audits; courier companies and electronic mail service providers; companies providing profiling tools; companies that destroy documents. In such cases, an agreement is concluded with these entities to ensure the security of your data. Due to the fact that these entities change frequently, we are not able to provide a complete list of them, if you want to know who we work with at the moment, you can always ask.
We may transfer your data outside the European Economic Area to the USA, but only to entities entered on the Privacy Shield Framework list, i.e. ensuring secure processing.
What can you do with the personal data you have provided to us?
You have the right to request from EEC Sp. z o.o .:
- access to your personal data, in each case of data processing by EEC Sp. z o.o .;
- correct your personal data in each case of data processing by EEC Sp. z o.o .;
- delete data in each case of processing, if the data are no longer necessary for processing for the purposes for which they were collected or withdrawn you consent to the processing and there are no other grounds for processing your personal data, or you have effectively objected to the processing, or your personal data was processed by EEC Sp. z o.o. in an unlawful manner, or your data must be deleted due to the legal obligation of EEC Sp. z o.o.
- processing restrictions if you question the accuracy of your personal data, until EEC Sp. z o.o. has checked this correctness or processing by EEC Sp. z o.o. is made unlawfully, but you do not request deletion of data, or as EEC Sp. z o.o. we no longer need your data for processing, but you need it for the purposes of establishing, pursuing or defending claims, or you have objected to the processing, and we, during its examination as EEC Sp. z o.o. we will process your data only by storing it;
- transfer of data to another data controller if the processing is based on consent or for the purpose of performing a contract;
- regarding the processing of your data for the purposes of marketing your own products or services to EEC Sp. z o.o. you can object to such processing, which is based on the legitimate interest of EEC Sp. z o.o.,
- regarding other purposes of processing, where its premise is a legitimate interest, you can object to such processing.
When will we store your data until?
Your personal data will be stored as long as it is necessary to perform the contract between you and EEC Sp. z o.o. or a contract concluded by another entity on your behalf, and after that for a period of time corresponding to the period of limitation of claims (as a rule, 3 or 6 years, unless a special provision provides otherwise) that EEC Sp. z o.o. and which may be raised against EEC Sp. z o.o. This period is extended if circumstances allow it by law.
If your personal data will be processed in order to fulfill the legal obligation incumbent on the administrator, personal data will be stored for the time necessary to fulfill this obligation (e.g. in the case of processing data contained in invoices - 5 years, calculated until the end of the calendar year, pursuant to art. 74 item 2 point 2 of the Accounting Act).
We will process data processed on the basis of consent until you withdraw this consent.
If your personal data will be processed on the basis of the legitimate interest of the administrator, when the basis for this processing is the performance of the contract concluded with EEC Sp. z o.o. for your benefit, the data will be processed for the period of possession by EEC Sp. z o.o. legitimate interest (e.g. in the case in which you are a participant in our trainings and conferences due to the improvement of your professional competence with the consent of your employer who has entered into a training contract for you). If your personal data will be processed on the basis of the legitimate interest of the administrator, when the basis for this processing is direct marketing of your products and services, your personal data will be processed until you object.
Your data will be deleted when we can no longer process them in accordance with the provisions of generally applicable law, i.e. when we lose a reasonable basis for processing this data.
Where can you lodge a complaint about the processing of personal data by EEC Sp. z o.o.?
Complaints can be directed to the President of the Office for Personal Data Protection (Stawki 2 Str., 00-193 Warsaw).
What modern technologies do we use to process your personal data?
On the EEC websites we use cookies and other technologies to record information about pages or subpages visited by users and their activities.
What are cookies?
Cookies are small pieces of text that the website sends to the browser and which the browser sends back at the next visits to the website. They are mainly used to maintain sessions, e.g. by generating and sending back a temporary identifier after logging in. However, they can be used more widely by remembering any data that can be encoded as a string of characters. Thanks to this, the user does not have to enter the same information each time, he or she returns to this page or switches from one page to another.
Because ads must be transmitted to the browser directly from ad network servers, these networks can display, edit or enter their own cookies as if the user had requested a website from their website.
What types of cookies do we use?
EEC Sp. z o.o. uses the following types of cookies:
- Neutral - necessary for the proper functioning of the website / needed to enable the functionality of the website.
- Investigating - used to track users but not including information that identifies specific user data.
- Tracking - used to track users and provide information that identifies a specific user.
EEC Sp. z o.o. enables other entities (Partners of EEC Sp.z o.o.) to use cookies (so-called third party cookies). The information contained in these cookies is transmitted to the Partners of EEC Sp. z o.o. (service providers, in particular search, advertising, Internet research, etc.).
